When you send your CV, job application, and other materials to Aspira, we process your personal data to provide support or find a position that matches your specific profile. This includes storing your application, CV, and relevant documents in our system.

We encourage you to only include personal information relevant to the process at Aspira or the position you are applying for. DO NOT include your CPR number and consider whether other personal details, such as health information or family status, are necessary for your application.

If you send personal information for other reasons—such as being a customer—your information is only kept as needed to respond to your inquiry or perform a task related to your inquiry. Information in emails is generally retained only until the task or dialogue is completed. If personal data is included in attached documents, it will be stored accordingly for documentation purposes.
 

What Personal Data We Process and Why

Aspira processes the personal data you submit, such as certificates, references, and similar documents. We also process personal data collected from third parties like LinkedIn, online searches, or previous employers. The purpose is related to outplacement, recruitment, leadership coaching, organizational and employee development, or well-being surveys.

In addition to information collected in connection with HR tasks broadly, other personal data is also processed when we receive emails from suppliers or customers and in connection with invoicing. Emails are stored for up to a year. Documents and information received via email are continuously stored in other relevant systems, such as customer folders, as attachments to accounts, or in the accounting program.

Legal Basis for Processing Personal Data

We only process data upon your request in connection with Aspira processes, prior to entering into a contract, or to perform our work of finding suitable candidates for specific positions and evaluating these.

Inquiries to previous employers or other persons involving information about you occur only with prior consent.

Personal data related to other customer contact is stored in relation to the task and the customer relationship. All personal data related to accounting is stored for 5 years according to the Danish Bookkeeping Act.

Your Personal Data

Aspira has agreements with various data processors who perform a range of tasks on our behalf. These data processors will have access to your personal data in connection with the technical solution. The data processors can only legally access and process your personal data upon specific request from Aspira and only to solve the specific goals determined by Aspira. The data processors may not process your personal data for their own purposes.

If you are considered for a position with one of our clients in connection with a recruitment task, Aspira will exchange your personal data with this client. You will be notified that your information has been shared with the client. We request the client to delete the data after the task related to the process is completed. If the client wishes to retain your personal data, they must independently request your consent.
 

Retention Period

We retain your personal data as long as necessary to perform the tasks assigned by our clients and to manage our recruitment and other HR tasks in the long term.

Your personal data will be continuously updated. We recommend that you contact us if the personal data you have submitted in your CV, job application, and other relevant material changes so that we can update them without undue delay.

In connection with recruitment, you are asked to create an account and upload relevant data in our recruitment system. The system will periodically request the extension of your consent for storage. You can request the deletion of this data at any time.

Personal data stored in connection with our tests, surveys, and other HR tasks for our clients is stored for the duration of your employment at the respective place or if the customer relationship ends. If your employment relationship ends or the cooperation between Aspira and the client ceases, personal data will be deleted within 12 months or upon your request directly to Aspira.

All personal data related to accounting is stored for 5 years according to the Danish Bookkeeping Act.

Your Rights

As a data subject, you have several rights:

  • The right to access the personal data we process about you.
  • The right to rectify incorrect personal data.
  • The right to delete personal data (the right to be forgotten).
  • The right to object and receive data in electronic form.

Duty to Inform - Personal Data Not Received from You

We collect personal data about you from third parties, such as LinkedIn and online generally in connection with recruitment tasks. If, based on this collection, you are considered for a specific position, we will contact you by phone or email. You will then be informed about the processing of your personal data, and the next step will be for you to upload relevant documentation yourself.

All the above principles apply to the processing of your personal data in connection with this process.

Complaints

You can complain about Aspira's handling of your personal data to the Danish Data Protection Agency (www.datatilsynet.dk).
